Refund Policy

At Ultrasound Nataly, we are dedicated to providing high-quality diagnostic imaging services with a focus on patient satisfaction. We value your trust in our team and want to ensure transparency regarding our Refund Policy. This document explains our policy on payments, cancellations, refunds, and special circumstances to ensure clarity for all our patients. By booking an appointment or purchasing services from Ultrasound Nataly, you acknowledge and agree to the terms outlined in this policy.
1. General Payment Terms
Self-Pay Clinic
Ultrasound Nataly operates as a self-pay facility. We do not accept insurance, Medicare, Medicaid, or any third-party payers. All services must be paid for in full at the time of booking or before the imaging session begins.

We accept the following forms of payment:
Credit Cards (Visa, MasterCard, American Express, Discover)
Debit Cards
Zelle
Cash (only for in-person payments)
2. Cancellation and Rescheduling
Appointment Cancellations
We understand that unexpected situations can arise, requiring patients to cancel or reschedule their appointments. If you need to cancel or reschedule, we kindly ask that you do so at least 24 hours before your appointment time.
Late Cancellations (Less than 24 hours)
Cancellations made less than 24 hours prior to your appointment may be subject to a $25 late cancellation fee, which will be deducted from any refund due.
No-Show Policy
If a patient fails to attend their appointment without prior notice ("no-show"), the appointment fee will not be refunded. Patients who repeatedly miss appointments without notice may be required to prepay in full for future appointments, with no refund option if missed again.
3. Refund Eligibility
Refund for Prepaid Appointments
Full Refund: Available if cancellation is made more than 24 hours in advance.
Partial Refund: If cancellation occurs within 24 hours of the appointment, a cancellation fee of $25 will apply, and the remainder will be refunded.
Refund After Service Is Performed
Once a diagnostic ultrasound has been performed and the service has been rendered, the service fee is non-refundable. Diagnostic imaging is a professional service, and patients are paying for the time, expertise, equipment use, and interpretation provided at the time of service.
If a patient is unhappy with the outcome of the scan (for example, image quality), we will offer a rescan at no additional charge, but refunds will not be provided after the imaging has taken place.
4. Refund Policy for Diagnostic Reports
Once the imaging is performed and the radiologist or medical professional begins processing the diagnostic report, no refunds are available for the report fee . This fee covers professional interpretation and documentation, which represents labor already performed.
5. Special Circumstances for Refunds
Errors on Our Part
If Ultrasound Nataly makes an error that prevents the ultrasound from being completed correctly (for example, equipment failure or scheduling error), the patient will be offered:
A free reschedule at the earliest possible date.
A full refund if the patient chooses not to reschedule.
Medical Ineligibility
In rare cases, if the ultrasound cannot be performed due to a medical reason discovered upon arrival (for example, the patient has a condition that makes imaging unsafe), a full refund will be provided.
Duplicate Payments
If a patient accidentally submits duplicate payments for the same service, the excess amount will be refunded immediately after verification.
6. Refund Process and Timeline
How to Request a Refund
Patients may request refunds via:

In-Person: Visit our clinic and speak directly with our administrative team.
Refund Timeline
Approved refunds will be processed within 5 to 7 business days. Refunds will be issued to the original payment method used during booking. If the payment was made in cash, refunds will be provided via check or Zelle.
7. Non-Refundable Items and Services
The following are strictly non-refundable:
Completed ultrasound scans.
Diagnostic reports already prepared.
Missed appointments ("no-shows").
Services bundled with promotions, unless specifically stated otherwise.
E-book or educational materials provided as part of a promotion.
8. Gift Certificates and Promotional Vouchers
Gift Certificates: Non-refundable once purchased. They may, however, be transferred to another person if the original recipient cannot use them.
Promotional Vouchers: If a patient books a service using a discounted or promotional voucher, refunds will only be granted up to the value paid (not the full service price). Expired vouchers cannot be refunded or extended.
9. Patient Satisfaction Commitment
At Ultrasound Nataly, we want every patient to feel satisfied with their experience. If you feel that our service did not meet reasonable expectations due to staff error, technical failure, or miscommunication, we invite you to contact us immediately to discuss potential resolution, which could include:
A complimentary follow-up scan.
A discounted future service.
In rare cases, if we determine that a service failure occurred entirely due to our error, we may provide a full or partial refund at our discretion.
10. Dispute Resolution
If a refund request is denied and the patient disputes the decision, both parties agree to seek resolution through direct communication first. If unresolved, the dispute may be escalated to a neutral arbitration service in Orlando, Florida, as per our Terms and Conditions.
11. Changes to This Refund Policy
Ultrasound Nataly reserves the right to modify this Refund Policy at any time. Updated policies will be posted on our website and apply to all future bookings. Patients are encouraged to review the Refund Policy before each appointment.
